Great, you've been shortlisted!
This means that your application has been successful, or your details have been given to us by a staff member at the University.
Before you can start working you must:
1. Complete a Right to Work Check
- UK Citizens – please bring your original passport or your original birth certificate and an official letter or document showing your National Insurance number
- International Citizens (including EU) -please bring your original Passport and a Share Code
2. Accept the Campus Jobs Terms and Conditions on your online profile accessed via the Campus Jobs portal and under your 'My Profile' area.
Campus Jobs Terms and Conditions 2024-25
Campus Jobs workers who have carried our work in or prior to July 2024 will need to use this version of the Campus Jobs Terms and Conditions 2023-24.
Excellent! You are now at the stage where we can offer you your "assignment" (our word for "job").
Firstly, you will need to read through some more of the legal stuff and accept your "assignment offer" before you can work and be paid.
To do this, please look out for your new email entitled 'assignment offer', where there will be a 'respond to offer' button at the bottom - you should read the email text first!
Alternatively, you can accept your offer/s online via the Campus Jobs Portal by going to My Profile >> Assignment Applications.
In your offer email, you will find details of the role such as start/end dates, pay rate and line manager details. If you have any queries about the work itself, you should communicate with the line manager directly.
Great, you can now start working!
On average, we set up individual timesheets within 48 working hours of you accepting your offer.
During the penultimate week of each month, we are restricted from creating timesheets or altering payroll records whilst pay is being calculated for the whole University. If you happen to accept your offer during this period, you may notice a delay of up to 7 working days - we will do our best to get your timesheets set up as soon as we are able to!
Hooray! You are at the end of the journey and can enjoy getting on with your assignment.
Being 'placed' means that we have set you up with your new timesheet/s and you have a record on the Campus Jobs payroll.
Once you receive your "Assignment Confirmation" email, please give your timesheets at least 24 hours to appear. If they still aren't available after 24 hours, please contact us.
There are a few things to consider at this point:
- Ensure you fill out your employment details correctly on Timesheets so that you only pay the right amount of tax.
- Ensure you have a UK Bank Account and National Insurance number.
- Make yourself familiar with the Timesheet Deadlines and 40-day policy to ensure you get paid promptly.
- Keep in touch with your manager, any shift requirements and changes to work arrangements.
- Let your manager know in advance (wherever possible) if you are sick or unable to attend a shift.
- If you work more than 6 hours in one go, you are entitled to a 20-minute unpaid break so put your feet up and grab a coffee!
- If you are a student, you should consider how many hours you are allowed to work per week. Further guidance can be found on our important information pages.
According to our records, you have recently completed your Campus Jobs assignment, so we wanted to thank you for working through Campus Jobs and inform you of a few actions to take at this stage.
Submission of Timesheets - 40 Day Limit
All Campus Jobs timesheets must be submitted within 40 days of the work, or you won’t be able to claim payment.
If you are yet to submit your final timesheets, please do so as soon as possible.
P45 Requests
Due to the nature of Campus Jobs roles being short term, we don’t automatically issue P45’s after each assignment. This is because you may already work for Campus Jobs in another role or you may have plans to work for us again soon. However, if you are looking to receive your P45 and believe you won’t be working for us again in the foreseeable future, please complete our form to request a P45.

If you are about to start a new role elsewhere and have been asked to provide references, the Campus Jobs team can act as a referee. Please note, we are only able to provide an employment reference and cannot provide a character reference. This means we can confirm that you worked for Campus Jobs, the job title, rate of pay, and your start/end dates. Please provide our email address in the first instance – campusjobs@reading.ac.uk. We are unable to release any information about you without the new employer providing us with signed consent so they may ask you to confirm your authorisation for us to provide this reference.

Please be advised if you had access to an Associate (staff) IT Account during your assignment, this will terminate soon. Please remove any information from the account that you may need access to.
